Writing a resignation letter is not a pleasure either for the person who writes it or for the person who is to receive it and accept it. It can generate a lot of stress.
The key to ensuring a smooth and pleasant ending of work is professionalism and personal culture. However, it all starts with a notice, also known as a resignation letter.
How to write a good resignation letter?
The best advice when writing such a letter is simplicity, professionalism and kindness. If the reasons for your departure can have a negative impact on the situation in the company, you do not need to take them into account. Instead, focus on thanking you for the knowledge and skills you have gained through employment. It is also advisable to avoid mentioning a new employer in such a list. Boasting of a higher salary will certainly not be enthusiastically received.
Talk to your boss
When preparing your termination, you should contact your supervisor directly. Enter the date you plan to leave the job. Before submitting your letter, make sure you are aware of all obligations related to the notice period in the contract. That is why it is so important to include the date of departure in the notice. Don’t be afraid of specifics, your boss expects specific information.
Keep a formal, but also polite tone. Despite taking up a new position, you may be dealing with a previous employer in the future – e.g. regarding obtaining a reference. It is important, therefore, not to discredit the company and former colleagues in the resignation letter. So avoid any negative wording – even if your experience might require it. Be classy and respectful of your colleagues, even if you don’t deserve such good treatment.
“Thank you” matters
Don’t forget to say “thank you”. Burning bridges behind you never works out for good – the more that in the future you may need to contact the company, and maybe even come back to it. Thank the boss and the entire company for everything you have learned during work. This way you will smoothly move to a new job and maintain good relations with the employees of the previous one.
Take care to refer cases
End all unresolved issues. If you are in the process of implementing a project, attach to the letter a short action plan regarding your responsibilities and handing them over to your successor. If this is true, add that the notice period will provide sufficient time to complete the project or allow you to prepare your successor for the implementation of the tasks assigned. If your successor is already in the company, arrange a series of meetings with him to discuss all projects.
